I take your privacy seriously and am committed to protecting your personal information. This Privacy Policy explains what personal information I collect, how and why I use it and your rights under UK data protection law.

For the purposes of UK data protection law, I am the data controller of the personal information described in this policy.

This website is operated by Amanda Hickman, an independent business consultant and sole trader.

  • book a call with me; or

  • telephone number;

  • appointment or booking information; and

  • any other information you choose to provide in an enquiry or communication.

Please avoid including sensitive personal information in general enquiries unless it is necessary.

 

Website and analytics information

When you visit this website, certain technical information may also be processed, such as information about your device, browser, IP address and how you interact with the website.

I use Google Analytics to help me understand how visitors use my website, for example which pages are visited and how visitors navigate the site. IP anonymisation is enabled for my Google Analytics integration.

Analytics cookies are non-essential and are managed through the website's cookie consent controls.

 

3 - How and why I use your information

I only use personal information where I have a lawful basis for doing so.

Responding to enquiries

If you contact me, I use the information you provide to respond to your enquiry and communicate with you.

My lawful basis is normally legitimate interests: specifically, my legitimate interest in responding to people who contact me and managing ordinary business communications.

If your enquiry relates to potentially engaging my services, processing may instead be necessary to take steps at your request before entering into a contract.

Providing my services

If you engage me to provide services, I use personal information as necessary to provide those services and manage our working relationship.

My lawful basis is contract, where the processing is necessary to enter into or perform a contract with you.

 

Booking calls

I use Calendly to enable visitors to book calls with me. If you use the booking facility, the information you provide is processed through Calendly for the purpose of arranging and managing the appointment.

My lawful basis for using your booking information is normally legitimate interests in arranging and managing requested appointments, or contract where the booking relates to steps you have asked me to take before entering into a contract.

 

Website analytics

I use Google Analytics to understand how my website is used and to help me assess and improve its content and performance.

Where analytics involves the use of non-essential cookies or similar technologies, these are used with your consent.

Business and legal records

I may retain information where necessary to maintain appropriate business, financial or tax records or to meet other legal requirements.

My lawful basis is legal obligation where I am required by law to retain the information.

 

Email updates

If you choose to sign up to receive newsletters or other email updates from me, I may use your contact details for this purpose.

Where required, I rely on your consent. You can withdraw your consent or unsubscribe at any time.

I do not currently send a regular newsletter, although a facility to sign up for future updates may be available through this website.

 

4 - Where I get your information

Most of the personal information I process is provided directly by you, for example, when you contact me, complete an enquiry form or book a call.

Technical and website usage information may be collected through Wix, Google Analytics and cookies or similar technologies when you use this website.

I do not buy personal information or mailing lists for marketing purposes.

 

5 - Who I share your information with

I do not sell your personal information.

I use a small number of service providers to operate my website and business. These include:

  • Wix, which hosts and provides functionality for this website, including website forms;

  • Google Analytics, which I use to understand website usage; and

  • Calendly, which I use to provide the online call-booking facility.

I may also use email, cloud storage and other business technology providers where necessary to communicate with you or manage my business.

These providers may process personal information on my behalf or, depending on the service, process information in accordance with their own privacy responsibilities.

I may also disclose personal information if required by law or where necessary to establish, exercise or defend legal rights.

 

6 - International transfers

Some of the technology providers I use operate internationally and may process or store personal information outside the UK.

Where UK data protection law requires safeguards for an international transfer, I rely on the safeguards put in place by the relevant provider or other lawful transfer mechanisms as applicable.

For example, Calendly may process personal information in the United States or other countries and states that it uses recognised transfer mechanisms for UK personal data.

 

7 - How long I keep your information

I keep personal information only for as long as it is reasonably necessary for the purpose for which I collected it, including to meet legal, accounting or reporting requirements.

The appropriate retention period therefore depends on the type of information and why I hold it.

For example, I would not normally need to retain a general enquiry that does not lead to an ongoing business relationship for as long as information that forms part of a client, contractual or financial record.

When personal information is no longer required, I delete it securely or anonymise it where appropriate.

 

8 - How I protect your information

I take appropriate and reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.

However, no method of transmitting or storing information electronically can be guaranteed to be completely secure.

 

9 - Cookies and similar technologies

This website uses cookies and similar technologies.

Some cookies are necessary for the website to function. Other cookies, including analytics cookies, are optional and are controlled through the cookie consent banner.

I use Google Analytics to understand how visitors interact with the website. Optional analytics cookies are used only in accordance with your cookie choices.

The embedded Calendly booking facility also uses cookies and similar technologies. Calendly provides its own cookie consent controls within the booking facility, allowing you to manage its optional cookies separately.

You can review or change your choices using the cookie settings available on the website and, where applicable, within the Calendly booking facility.

 

10 - Marketing communications

I will not add you to a marketing mailing list simply because you contact me or book a call.

If you actively choose to subscribe to email updates, you can unsubscribe at any time using the unsubscribe facility provided in the communication or by contacting me directly.

Where I rely on consent, withdrawing your consent will not affect the lawfulness of processing carried out before you withdrew it.

11 - Your data protection rights

Depending on the circumstances and the lawful basis on which I process your information, you may have the right to:

  • ask for a copy of the personal information I hold about you;

  • ask me to correct information that is inaccurate or incomplete;

  • ask me to delete your personal information in certain circumstances;

  • ask me to restrict how I use your information in certain circumstances;

  • object to certain uses of your personal information;

  • receive certain personal information in a portable format; and

  • withdraw your consent at any time where I rely on consent.

You have the right to object to processing based on legitimate interests in certain circumstances.

If you would like to exercise any of these rights, please contact me using the details in section 1.

There is normally no charge for exercising your data protection rights.

 

12 - Complaints

If you have concerns about how I have handled your personal information, please contact me first so that I have an opportunity to address them.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's independent regulator for data protection.

13 - Changes to this Privacy Policy

I may update this Privacy Policy from time to time, for example, if the way I use personal information changes or to reflect changes in legal requirements.
